AI Process Automation & Integration

S. J. Rollins Technologies helps organizations across Maine use AI to automate everyday processes. AI does the repetitive work, and a person on your team stays in charge. We build on the AI tools you already use.

We’ve been removing the burdens of technology for Maine organizations since 1986. AI is a new tool for the same mission: solutions that create efficiency, stability, and security.

Bring us a process. We’ll help you automate it.

The best AI projects start with a simple question: how do I take this process and make it faster, or automate it with AI, with a person still managing it? Bring us that question. Whatever the process is, we’ve likely seen something like it before, and we’ll tell you straight what AI can and can’t do.

Good places to start are the tasks your team repeats daily:

  • Email and request intake. Incoming messages sorted, summarized, answered, or routed to the right person or system.
  • Data entry between systems. Information copied from email, forms, and spreadsheets into your business software.
  • Documents and forms. Invoices, applications, and requests read, organized, and checked for missing details.
  • Answers buried in your software. Staff ask a question in plain English instead of digging through screens and reports.
  • Disconnected systems. Tools that don’t talk to each other, so people do the same work twice.

AI does the work. A person stays in charge.

We design every automation so your people keep control. AI handles the repetitive steps, and your team makes the judgment calls. We roll out automation the way we did our own: a person reviews AI output at first, and the AI earns more independence as it proves itself.

  • You choose what runs on its own. Routine steps can run automatically, and anything important waits for a person’s approval.
  • Clear documentation. Every automation is documented, so you know what it does, who owns it, and how to change or stop it.

How we use AI at S. J. Rollins

We don’t ask customers to try anything we haven’t put to work ourselves. Here is how AI runs inside our own business today:

  • Support desk email intake. All email that comes into our support desk is handled by AI, integrated with our ticketing system. We started with people reviewing its replies and gave it more independence as it earned our trust. Today it answers customers on its own, and our staff monitor the work and step in when needed.
  • Software development. Our in-house development team uses AI heavily to automate code creation and unit tests, and our developers review the work.
  • Custom MCP servers. We’ve built MCP (Model Context Protocol) servers into applications so AI agents can work with custom software. Staff can query that software in plain English.

AI tools we support

S. J. Rollins Technologies has experience with and supports most major AI providers, including:

  • Claude
  • ChatGPT
  • Microsoft 365 Copilot
  • Microsoft Copilot Studio
  • Microsoft Power Automate
  • Grok Bot

If your team already uses one of these, we can build on it. Not sure which fits? We’ll help you choose. Using a tool that isn’t listed? Ask us.

We already help customers manage Microsoft 365, including Microsoft licensing, so Copilot and Power Automate can fit into the setup you have today.

Connecting AI to the software you already use

Off-the-shelf AI doesn’t know your business. We connect AI and automation to your line-of-business software through vendor APIs, including financial platforms like the Sage Intacct and Ramp solutions we offer. Inside Microsoft 365, Power Automate can route approvals, move form data into lists, and send updates without anyone chasing them.

When your software is custom or no connector exists, our software development team can build one, including MCP servers that let AI agents work with your custom applications.

AI security, acceptable use, and data protection

AI tools are only as safe as the rules around them. Many organizations already have staff putting business data into free AI tools without anyone knowing. We help you take control:

  • An AI acceptable use policy that spells out approved tools, what information must never go into public AI tools, and when a person must review AI output
  • A look at the AI tools already in use, so you can approve, replace, or block them
  • Strong account security, including multi-factor authentication and access reviews
  • Compliance alignment with the rules your industry follows, through our compliance solutions

AI work fits alongside our security services, including endpoint security and security assessments, so new tools don’t open new gaps.

Our process: assess, plan, pilot, roll out, support

  1. Assess. We learn how the process works today and where AI can take on the work.
  2. Plan. We recommend the tools, the integrations, the points where a person reviews or approves, and the security settings to put in place first.
  3. Pilot. A small group uses the automation on real work, and we fix what doesn’t fit before going further.
  4. Roll out. We expand in stages, with practical training so staff know how to check AI’s work and protect sensitive information.
  5. Support. We keep watching, adjusting, and supporting what we built.

Because we already help organizations with managed IT services and virtual CIO planning, AI becomes part of your technology roadmap instead of a side project. We eagerly take on the hard problems and stay with them until they’re solved.

AI and automation FAQs

What AI tools do you support?

We support most major AI providers, including Claude, ChatGPT, Microsoft 365 Copilot, Microsoft Copilot Studio, Power Automate, and Grok Bot. If your team uses another AI tool, ask us. We’ve likely seen it before, and we’ll help you choose what fits your work and your data.

Where should we start with AI automation?

Start with one process your team repeats every day, such as email intake, data entry, or document handling. Bring it to us and ask how to make it faster or automated with AI, with a person managing it. We’ll recommend a small pilot and expand from what works.

Can AI handle our support email or ticket intake?

Yes. At S. J. Rollins, AI handles all of the email that comes into our support desk, integrated with our ticketing system. Our staff reviewed its replies at first, and we gave it more independence as it earned our trust. Today it answers customers on its own, and staff monitor it and step in when needed. We can help you do the same for your inbox or ticketing system.

Can AI work with our custom software?

Often, yes. Many systems offer APIs we can connect to. For custom software, we’ve built MCP (Model Context Protocol) servers into applications so AI agents can work with them, and staff can query the software in plain English.

Will AI replace our staff?

That isn’t our goal. AI does the repetitive work, and a person stays in charge. You decide which steps run on their own and which need a person’s approval, so your team spends more time on customers, decisions, and the work that needs a human.

Do we need an AI acceptable use policy?

Yes. A short, clear policy tells staff which AI tools are approved, what information must never be entered into public AI tools, and when a person needs to review AI output. It protects your data and gives your team confidence to use AI well.
